Quick Start Guide

From Sign-Up to Your First Dashboard

Seven steps, most of them under a minute. Whether you started on Snapshot, Insights, or Team, this is the path from clicking a plan on the website to seeing your own data on your dashboard.

Choose your plan

On the website, click Get Started for the free Snapshot plan, or Get Started / Subscribe on Insights or Team.

Create your account

Enter your name, email, and a password. Your password needs 12+ characters, an uppercase and lowercase letter, a number, and a symbol.

Verify your email

We'll send a short code to your inbox. Enter it on screen — or click the link in the email — to confirm it's really you.

Set up two-factor authentication

Scan the QR code with an authenticator app (Google Authenticator, Microsoft Authenticator, Authy, or 1Password all work), then enter the 6-digit code it gives you. This is required on every account to keep patient data secure.

Accept the User Agreement

A quick review of how your data is handled. Check the box and continue.

Connect Practice Better

In Practice Better: click your name → Settings & PreferencesAPI Access, then click the + button → Create API key. Name it anything, set access to Read only, then copy the Client ID and Client Secret it gives you.

Paste both into Practice Business Insights and click Connect.

Next you'll sign a Business Associate Agreement (BAA)— the agreement HIPAA requires between a practice and any service that handles patient information on its behalf. Every practice gets one as part of onboarding, signed once by an administrator on the practice's behalf, before a single patient record is imported. You'll enter your practice's legal entity name, state of organization, and entity type(LLC, PC, and so on), plus your name and, optionally, your title — the agreement names your practice, so these become part of it. A copy is emailed to you, and it's always available under Settings → Legal.

Once you accept, your data starts syncing automatically — larger practices can take several minutes for the first sync.

Set your filters — and you're in

On your dashboard, click Filtersto set your date range, choose whether to include future appointments, and exclude any service types that shouldn't count toward your numbers — discovery calls, free consultations, internal visits, admin blocks, and the like. Admins can click Save as default first so those choices carry over automatically next time, then click Apply.

That's it — your Executive Summary is ready to explore.
